For Philips we are looking for a Management Assistant for at least 4 till 6 months. When performed well there might be a change that your contract will get extended. But what is a Management Assistant exactly? Do your recognize yourself in the job description below?

A management assistant, also known as an executive secretary, provides assistance to one or more senior level executives. This person may support the president, CEO, vice president, or department head within an organization. Duties might be related to administrative functions specific to the needs of the executive and organization. Work responsibilities for a person in this position typically go beyond general clerical functions to involve complex tasks such as analytical research and report preparation.

A person employed in this position is responsible for handling the administrative functions for either one or multiple senior executives. The administrative responsibilities that the executive is responsible for within the organization typically are assigned to this person. Much of this administrative support includes preparing memos, emails, and other correspondence on the executive’s behalf. This person maintains a filing system, answers telephone calls, and routes messages. Additional duties may involve sorting mail and faxes.

Performing responsibilities effectively may require having good organizational skills and the ability to multi-task. The executive secretary might be responsible for organizing meetings and conferences. This may also require coordinating multiple schedules and handling all of the details pertaining to the meeting. Generally, preparing the agenda and ordering meals or refreshments are also part of this person’s responsibilities.

Your challenge:
Proactively support the Management Team of Enterprise Information in a fast growing, dynamic department and be part of an international team.

Your responsibilities:
In this position you mainly support the Management Team of EIM and if needed their corresponding teams (around 200 persons in total) together with the Executive Assistant.
-Agenda management for the multiple Managers of EIM
-Organization of meetings, trainings and workshops, announcing guests and ordering catering if needed
-Organize international travel using Concur, visa documents
-On/off boarding of employees and provide support to ensure effective start of new employees
-Support to visiting international employees
-Update Intranet, SharePoint
-Make purchase orders

Your team:
You will be part of Philips EIM in Eindhoven, the Netherlands. You will have a primary reporting line to the Executive Assistant EIM. You will work in an international environment with English as mainly used language.

-mbo/hbo education
-Preferably 5 years experience in a comparable role would be a pre
-Pro-active worker who completes work with a limited degree of supervision
-Very flexible person with a hands on mentality who feels at ease in an international environment
-Both a team player and independent worker, easily connecting to others
-Experience in dealing with sensitive and highly confidential information
-Proficient knowledge of SharePoint, Intranet, Concur
